Aviva respects your privacy and is committed to protecting your personal data. This privacy notice gives you information on how Aviva collects and processes your personal data through your participation in the Aviva Community Fund.

The Aviva Community Fund is not intended for children under the age of 13, and we do not knowingly collect data relating to children. Our terms and conditions set out how children who wish to make a submission can do so through a parent or guardian.

It is important that you read this privacy notice together with any other privacy policy or fair processing notice we may provide on specific occasions when we are processing personal data about you. This notice is supplementary to the Aviva Privacy Policy which contains additional details about our use of your personal data, as well as your rights in relation to your data. Please also review the Aviva Community Fund terms and conditions which will apply when you participate in Aviva Community Fund.

Personal information we collect and how we use it

We - Aviva Insurance Ltd and Aviva Digital Ltd - are the data controllers. We will use personal information collected from you as part of the Aviva Community Fund registration process (directly or via Facebook); we need this to identify you, to register your interest in the Aviva Community Fund and enable you to take part in Aviva Community Fund activities.

As well as verifying your identity, we use your information to prevent incidences of fraud in accordance with our legal duty.

We may also use personal information about other people, for example, name and telephone number for a contact person in a community organisation you wish to support. If you are providing information about another person, we expect you to ensure that they know you are doing so and are happy to have their information shared with us and be contacted by us to verify information about the project.

How we share your personal information with others

We may share your personal information within the Aviva Group and with third parties including:

  • Charities Trust, who administer due diligence and payments on our behalf.
  • Our media agencies, who support us in promoting the Aviva Community Fund to the right audiences.
  • Research agencies, who assist us in understanding and gathering feedback provided by participants voluntarily.
  • Facebook, if you choose to use your Facebook login details to access the Aviva Community Fund.

How long we keep your personal information

We maintain a retention policy to ensure we only keep personal information for as long as we reasonably need it for the purposes explained in this notice. We need to keep information for specific periods to support returning users and engage with them.

Inactive user accounts on the Aviva Community Fund website will be maintained for 3 consecutive years, after which the account will be deleted from the website. If you would like to delete your profile before it reaches the 3-year retention limit, please contact us.

Project data will be maintained on the website for 3 consecutive years, after which the data will be cleansed and archived for reporting and analysis purposes only.

Aviva Community Fund communications and setting your choices

We will not use your personal data to market Aviva products and services to you. If you have chosen to receive communications from the Aviva Community Fund, we may use personal information we hold about you across the Aviva Group to help us identify and tailor news that may be of interest to you.

Your rights

You have various rights in relation to your personal information, including the right to request access to your personal information, correct any mistakes on our records, erase or restrict records where they are no longer required, object to use of personal information in certain circumstances and data portability.
